  • Overview

    The People & Culture Operations Associate is responsible for performing a variety of HR duties and works closely with corporate People & Culture leadership in supporting designated field and office locations. This position carries out responsibilities in the following functional areas: onboarding, new hire orientation, records management, employee relations, employee programs and employment law compliance.  

    Responsibilities

    Assists with the new hire and employment onboarding process, including assisting with the pre-employment and background screening process, ensuring new hire paperwork is properly and timely completed and processed, completing I-9 and E-Verify process, entering new hires into company systems, and establishing new hire personnel files.

     

    Ensures that all I-9 documentation is properly completed, and E-verify process is timely entered.  Follows through on any timely revisions and outstanding documents.  Timely notifies proper personnel when there is an E-verify tentative non-confirmation and ensures all proper procedures are followed.  Provides updates to Director of People & Culture regarding any noncompliance I-9 or E-Verify issues.

     

    Establishes and maintains all active and terminated employee files, ensuring that all necessary documentation is properly and timely filed.  Keeps all employee files confidentially secured at all times in locked file cabinets and/or password protected computer files in accordance with state and federal information security requirements.  Maintains files in compliance with all other applicable legal requirements.  

     

    Assist with processing paperwork for new hires, terminations, transfers, promotions and employee changes; processes personnel action forms and ensures proper arrival.

     

    Explains human resources policies and procedures to new and existing employees.

     

    Assist and provide backup support for processing and distribution of employment applications and/or new hire paperwork, ensuring that the most current documents are distributed.

     

    Works with P&C staff to deliver successful corporate events and meetings. 

    Administers the employee Service Awards Program, obtaining timely monthly reports, communicating with vendor and employees, and following through to ensure all eligible employees obtain their award. (Northeast P&C Support Specialist)

     

    Responsible for a variety of duties related to the day to day administration of employee benefit programs, including but not limited to enrollment, eligibility and record-keeping functions. (Northeast P&C Support Specialist)

     

    Takes photos of new hires during orientation process and follows through with regional locations to ensure photos are taken and timely received.  Prepares new hire announcements during employees first week and emails announcements to all Liberty employees.

     

    Prepares internal reports as needed and/or requested and prepares government reports to remain in compliance.

     

    Ensures any employee relations issues, such as work complaints, conflicts and harassment allegations are brought to the attention of P&C management.

     

    Maintains human resource information system records and/or human resources payroll records and compiles reports from the database.

     

    Establishes and maintains working relationships with all members of the Liberty team.

     

    Performs other related duties as assigned or directed.

    Qualifications

    Associate degree in Human Resources, Employee Relations or related field.  Bachelor’s degree preferred.

     

    Strong work tenure of 3 to 5+ years of directly related experience in a human resource administrative or specialist role.

     

    Bi-lingual English and Spanish

     

    Excellent interpersonal skills to handle sensitive and confidential situations and documentation.

     

    Strong organizational skills reflecting the ability to perform and prioritize multiple tasks with high quality and excellent attention to detail and to be adaptable to various competing demands.

     

    Excellent written and verbal communication skills.

     

    Proven ability to handle a high level of confidentiality.

     

    Outstanding team player willing to engage at a moment’s notice.

     

    Proficiency in using Microsoft Office products, including Word, Excel, PowerPoint, Outlook; database management, internet search engines and social media sites.

    Working Conditions

    While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level. Job site walking.
